Spring clean before you spring to the cloudMarch 21, 2017
If you’re thinking about moving your email, applications, or directories to the cloud, your first step is a good, old-fashioned spring cleaning. A deep clean is not only good for the soul. It’s also good for your bottom line. The more time you spend before a migration getting everything sorted, the better your migration will go.
We’ve found that a deep clean of an IT system helps our customers:
- Spend less time and money on migration
- Migrate 2-4 times faster
- Keep things from getting corrupted or orphaned
- Keep related applications working smoothly
- Avoid opening security holes
- Minimize disruption for users
So here are a few things you can do to spring clean your IT infrastructure.
Lay it all out
The first step is to see what you’ve got. Make a list of everything you can find in the crooks and crannies of your IT systems. For email migrations, this could include things like:
- Users and groups
- Special mail features like delegation and distribution lists
- Public Folders
- SharePoint libraries and sites
- Other applications that rely on email
Toss or archive old items
Then take a look at your list to see what you can disable, delete, or archive. And be brutal in pruning down this list. The less you have to migrate, the faster your migration will be. Side note: This is also a great time to revisit your org’s policies for how you retain email and other data. Make sure your employees know how they should archive their email. And also when they should hold on to things for legal reasons.
The good news is that you don’t have to do this manually. (Depending on the size of your org, it can be a bit like sifting through a haystack.) Instead, choose a tool that can do it for you. For directories, that could be our Active Directory Pro, which lets you merge, consolidate, or restructure your Active Directory environment. Or for email and calendar, use our Exchange Pro to automate and simplify a migration to Office 365.
Our tools find repetitive, complex tasks and organize and automate them up front. This reduces time and costs, and also makes it less likely that there will be errors when you run these tasks. The result is a lightning-quick migration that’s 10 times faster than other tools and methodologies.
Save 5-10 times more money
Many IT teams are too busy keeping the lights on to worry about spring cleaning. Fortunately, this is an ideal task to delegate to a fresh pair of eyes. You can bring in a partner like Binary Tree to take a look under the hood. We can do an assessment of your systems and make sure they’re in ship shape to move. And because we’ve been doing this for 24 years, we can get this done for you in a fraction of the time. Our customers who do a health check themselves often spend 5-10 times more in staffing and operational costs.
